Can I charge for a booking?
Yes. Put a price on an event type and the customer pays when they book. The money lands in your own payment account, and the booking arrives with an invoice and payment already recorded.
Yes. Put a price on an event type and anyone booking it pays before the slot is held. The money goes straight into your own payment account, and the booking shows up in your workspace with the invoice already marked paid.
Set the price
Go to Bookings, open the Event Types tab, and open the event type you want to charge for. Fill in the Price (USD) field and save. Leave it at zero and the booking stays free, which is what the public page will call it.
The field is greyed out until online payments are set up, with a note saying so. Set that up under Settings, then Integrations. You also need Bookings itself, which is included on Professional and available as an add-on otherwise.
If payments are not connected, a priced event type is not offered for free. It disappears from your public booking page and its direct link reads as not active, so nobody can book it until payments are working again. That is worth remembering if you ever disconnect: the event type still shows as On in your dashboard.
What your customer does
They pick a time, fill in their details, and see a Total on the review step. The button then reads Continue to payment rather than Confirm booking. They pay by card and the confirmation appears straight after.
The confirmation email carries the meeting details rather than the amount. Their card receipt comes from your payment account.
What lands in your workspace
One booking produces the whole trail:
- The contact, matched by email or created as a new lead tagged Booking.
- An opportunity in the first stage of your default pipeline, with the host as the sales rep and the meeting time on it.
- An appointment on the host's calendar, plus the meeting link if the event type uses one.
- An invoice on that opportunity, already paid.
- A payment on that invoice, with the processing fee and the net recorded on it.
The Bookings dashboard shows the meeting, not the money. To see what was collected, open the opportunity the booking created.
Cancelling and rescheduling
Cancelling refunds the full amount, every time. Your customer can cancel from the link in their confirmation, and anyone on your team with permission to manage bookings can cancel from the dashboard. Either way the charge is refunded in full and the invoice is voided with the reason recorded.
There is no cancellation window and no partial refund, so a booking cancelled after the meeting happened is still refunded in full. It is worth knowing before you bulk-cancel a set of old bookings, because every paid one in that set is refunded.
If the refund itself fails, the invoice deliberately stays standing rather than being voided against money you still hold. Void it yourself from the project once the refund goes through.
Rescheduling does not charge again. The customer keeps the booking they paid for, and the invoice and payment stay with the same opportunity.
Things worth knowing
- The price is the whole amount. There is no deposit or balance on a booking. If you need to take part of a job up front instead, use an invoice: see How do I collect a deposit or bill a job in stages?.
- The price includes tax. Price a booking at $100 and your customer is charged $100. If your workspace has a default tax rate, the invoice works the tax out of that $100 rather than adding it on top.
- Processing fees come out of your side, and are recorded on the payment so your reporting is honest about what you netted.
- You cannot book a paid event type on a customer's behalf. Send them the link so they can pay while booking.
- There is no no-show fee. Nothing charges a customer who does not turn up.
