If I cancel an estimate, does the customer get notified?

No. Cancelling is an internal status change, so nothing is emailed or texted to your customer. Here is what does change, and how to tell them if you want to.

No. Cancelling an estimate does not send your customer an email, a text, or any other notification. It is an internal status change: the estimate is marked Cancelled in your workspace and nothing goes out. That is true whether you cancel from the web app or from the mobile app.

What cancelling actually does

  • The status becomes Cancelled. The estimate stays on the opportunity, so you keep the record of what you quoted.
  • The estimate unlocks. An approved estimate is read-only until it is cancelled. Cancelling lets you edit it, re-send it, or approve it again, so it is also the way to reopen an estimate you need to change. See How do I create and send an estimate? for the send flow.
  • A line is added to the estimate's activity timeline showing who cancelled it and when, so your team can see what happened later.

What your customer sees

Nothing is pushed to them, but the link you already sent stops working. If they open it after you cancel, they see a short notice saying the estimate is no longer available and to contact their sales rep for an updated one. They only run into that if they go back to the link on their own.

Automatic review reminders also stop. Those only go out for estimates still in Sent status, so cancelling ends them quietly instead of nudging someone about a quote you have withdrawn.

If you do want to tell them

You have two options:

  • Send a note yourself. Email or text the contact from the opportunity. This is the better choice when the reason matters and you want to say something specific, and the message stays in your records with the rest of the conversation.
  • Set it up once with an automation. Build an automation on the "Estimate cancelled" trigger and add a send-email or send-text action. Every future cancellation then notifies the customer without anyone having to remember. See How do I create my first automation?.

One thing to know before you automate it

Three different situations all land on the Cancelled status: you cancelled the estimate, the customer declined it from their link, or it passed its expiration date and closed itself. An automation on "Estimate cancelled" cannot tell them apart. If you use one to email customers, write the message so it reads sensibly in all three cases, or keep the customer-facing note manual and use the automation to create a follow-up task for your rep instead.
