Connect Zoom
Generate a unique Zoom meeting link for every booking automatically.
What you get
Once Zoom is connected, every booking creates its own Zoom meeting and includes the join link in the customer confirmation. You never have to manually create or copy a Zoom link.
Before you start
You will need:
- A Zoom account (free or paid). Free Zoom accounts cap group meetings at 40 minutes; paid accounts have no time limit.
- A Coastline account that can manage Booking settings.
- At least one booking page or event type set up, so customers can schedule with you.
Connect Zoom
- Go to Settings → Booking → Meeting location.
- Click Connect Zoom.
- Sign in to your Zoom account and authorize Coastline.
After connecting, select Zoom as your active meeting location if it is not already selected. Only one meeting location (Zoom, Teams, or Meet) can be active at a time.
If the connection does not finish, see the Troubleshooting section below or contact support.
Using Zoom with bookings
- Automatic meeting links. Each time a customer books a video appointment, Coastline creates a dedicated Zoom meeting on your connected account and adds the join link to the confirmation. Every booking gets its own meeting, never your Personal Meeting Room, so attendees cannot wander into each other's appointments.
- What the customer sees. The booking confirmation email includes a "Join Zoom meeting" button with the meeting ID and passcode. Customers join from the Zoom app or a browser.
- Reschedules and cancellations. If a booking is rescheduled or cancelled, Coastline cancels the original Zoom meeting and, for reschedules, creates a new one. There are never stale or duplicate meetings.
Disconnecting Zoom and removing the app
You can remove the connection at any time from either side.
From Coastline: Go to Settings → Booking → Meeting location, find the Zoom card, and click Disconnect.
From Zoom: Sign in at the Zoom App Marketplace, open Manage → Added Apps, find Coastline CRM, and click Remove.
What happens when you disconnect
- Coastline immediately stops creating Zoom meetings for new bookings. To keep taking bookings, switch your meeting location to another option (Teams, Meet, in person, or phone).
- Zoom meetings that were already created stay in your Zoom account until they pass or you delete them there.
How your data is removed
While connected, Coastline stores only what it needs to create meetings for you: an encrypted Zoom access and refresh token, your Zoom account's name and email, and your Zoom user id. Coastline never accesses your meeting content, recordings, cloud storage, or participant data.
When you click Disconnect in Coastline, or remove Coastline from your Zoom account, Coastline revokes the token and deletes all of the above immediately. There is no grace period and no copy is kept. Disconnecting in Coastline and removing the app in Zoom have the same effect on your stored data.
Troubleshooting
- "Connect Zoom" does not finish or returns an error. Make sure your browser is not blocking pop-ups, then try again. If you are signed in to more than one Zoom account in your browser, sign out of the others first so you authorize the right one.
- New bookings are not getting Zoom links. Confirm Zoom is your active meeting location under Settings → Booking → Meeting location, and that the card still shows as connected. If it shows disconnected, reconnect.
- You removed Coastline in Zoom but it still shows connected in Coastline. Reload the settings page. The connection clears automatically as soon as Zoom notifies us. If it persists, click Disconnect in Coastline.
